Let’s be honest. Your audience might not notice, but something almost always goes slightly off-script during a conference event.

1. Unprepared Presentations.

It sounds simple. It sounds obvious. We know. 

But one of the biggest causes of bumpy conference production is a lack of preparation. 

Your speakers (the specialist brainboxes) need a full rehearsal to ensure our speakers (the amplifying kind) sound good. The crystal-clear, audible-from-the-back-row-but-not-deafening-the-front kind of good. 

We also need to make sure presentations run smoothly: slides in the right order, embedded media working properly and absolutely no surprises on stage.

Lighting matters too. For a speaker to feel confident, they need to feel comfortable. If a badly angled spotlight is blinding them for the entire presentation, it’s not going to feel good. To be honest, it’s not going to look good either. And truthfully, if you’ve not got the photos on LinkedIn, did it even happen?   

Another home truth: we live in a time-poor society. Everyone wants more time – to practise, refine figures, tweak slides. That’s why firm deadlines matter. Presentations need to be ready before rehearsals so technical issues don’t appear on stage. 

Speakers should also understand the stage layout – where to stand, enter, exit and move safely. Ideally knowing how far to pace without accidentally stepping backwards off the stage.

When you first come to us, the first thing we will ask is “Great! What’s the Event?” 

You might be thinking, ‘Easy, it’s our Annual AGM,’ or maybe, ‘Perfect, tick! I know it’s a festival with a sustainability focus’.  

But here’s the trick.  

When a stakeholder (e.g. suppliers, investors, marketing teams) ask “What’s the event?”, they actually want to know – what do you need from me?  

To know that, you must have a clear idea of what this event truly looks like to you. 

Here’s some key questions to think about, which may help.  

We collaborate with you from the start, so there’s no need to feel worried! We facilitate the flow of ideas, so don’t be scared if you’re coming to us feeling uncertain about where to start. We have tons of experience, here to support you and develop your event, always with flex for your budget.

2. Planning & Proposal

We have the bare bones, now let’s bring it to life.  Because every event is different, we don’t have a specific combination of elements we will offer to you. 

Instead, you can expect an in-depth collaborative consultation, during which we will get to understand your vision of precisely how this event will work, look and feel. This varies so greatly from event to event, it’s hard to cover a list without boring you! 

Think lighting, sound, use of space, staging, shell scheme, barrier, power, graphics.  

Then, we’ll pop along to do a site visit. Really understand how we can maximise the impact, quality, safety and accessibility of your event… including management plans for things you can’t control, like that good old British weather.  

3. The Quote

We’ll come back to you with both the concepts we’ve discussed and some extra ideas that perhaps you hadn’t thought of. 

Then, we’ll price up the bits you like the sound of and send our quote back to you as quick as we can!  

Everyone works to different budgets, and we always keep yours in mind – offering different tiers of production levels to suit your needs.  

Once you have given us the green light, we’ll get to work.

4. Run Up to the Event

This will be your favourite part of the whole process. We know, you don’t believe us.  

But, this because you’ll be able to get on with the important things whilst we work away in the background. 

Custom builds, floorplans, graphic production, logistics, scheduling and resource procurement… You don’t need to think about it.  

We do all venue and stakeholder liaison for load ins/outs, build and breakdown, health and safety, RAMS and premises guidelines.  

Don’t worry! We’ll have scheduled touchpoints to ensure we’re all on track, and we’re only ever a phone call away. Supportive, but never suffocating.

5. Showtime!

We’re on-site before you, working away to ensure everything is ready for when you arrive!  There will be a walkaround and complete handover, to check you’re happy with how things look, and we will stay on call should you need us for the rest of the event. 

For most live events, you’ll have a crew on-site. From sound production teams to lighting and event technicians, you’ll have the experts there to run your event, so there’s no unexpected surprises.  

No ‘Is this thing on?’ or spine-tingling reverb – everything will be just how we planned.  Sometimes, things pop up that you weren’t expecting. A vendor no-show, a performer stuck in traffic with no time for a sound check, a bust generator from that friend who promised it would be fine. You know the score.

At Alrose Productions, we’re a big fan of T3. We say that it’s a bit like Lego for adults, because you can make pretty much anything out of it… and have (almost) as much fun. 

In a nutshell, T3 is a modular system that can be used to build exhibition stands in whatever configuration suits you!  This can be refigured to suit different venues, stand sizes, and varying additional extras that may need to be included, e.g. TVs and waterfall railings. Due to its modular nature, T3 is a term used to refer to the whole system, but this can be broken down into ‘bars’ and ‘blocks’. The structure is created when bars are extended horizontally or vertically in any direction, using connector blocks between the bars. These are cubes with holes in each side of them, so the additional length on the end of the bar can slot inside of it, twist and connect securely. Just like Lego! 

Graphics are then clad to the frame, ensuring the structure looks perfectly branded and in line with our Client’s vision. The stand becomes an enlivened manifestation of their brand, instantly recognisable to potential customers from across the exhibition hall.

What is it made from?

T3 beams (or bars, as we call them) are made from sturdy, lightweight aluminium. The connector blocks are made from a durable plastic, and there are a whole host of extras, such as braces and feet, which can make the structure even more reliable, strong, and safe.  

How can it be used?

T3 is most commonly used to create exhibition stands. This is perfect, as it allows for complete customisation per client and can be made exactly to design specification. You can chat to us here about how we do this, creating mock-ups digitally to render your design. 

At Alrose Productions, we love to build stands using T3, as it gives our client total control over their bespoke stand. It enables us to add in doors, lighting and power, storage cupboards within the stand, TVs, and product displays such as shelving and waterfall rails. We can rest safe in the knowledge that when we leave a site, our client will have a fully functional stand which caters to their every requirement! 

So, can T3 only be used to build an Exhibition Stand?

No, absolutely not! That’s just one of its limitless uses. We use T3 in different ways on every job, be it for function or design. We’ve used T3 to build structures that provide additional support to logistical elements of an event, such as three-man registration desks and uniquely designed lecterns, even a printing counter made from T3 and then hidden behind chemical drums for an authentic feel (see above)! 

T3 can be used for additional branding, such as lightboxes and displays. We are experts in creating a fully branded look, using a combination of full stretch fabric graphics and  hi-spec printed Foamex to our client’s taste and budget. Did you know, T3 can even be used to clad branded fabric graphics to shell scheme!?

It’s hard to know where to start when it comes to planning an event, especially when it comes to technical specifications. We know it can feel daunting to bridge the gap between your creative vision, knowing what is possible and knowing how to achieve it.

Thankfully, at Alrose Productions, we’re experts in live events, so we know exactly what you’ll need if you’re think of hosting a conference. 

First things first, what is a conference? 

Well, it’s the coming together of experts in an industry or specific field to share knowledge and research around a given topic. Conferences are comprised of seminars with key-note speakers and panellists, networking opportunities, and workshops. Often hosted annually by an industry body, there are awards dinners and entertainment in the evening, held to celebrate achievements in their relevant fields over the previous year.  

So, what do I need? 

First of all, decide on dates, times, and location. Conferences are often held in hotels, due to their abundance of meeting rooms available, open spaces for networking, and banqueting halls. Plus, easy (and often discounted) accommodation for any attendees! When decided, arrange a meeting with the venue to assess what they already have in place and what they have done for similar events in the past. This will help you to determine what you need.

1. Staging

You’re going to need a stage, because you want to be seen! Forgive us for stating the obvious, but this works to create a natural speaker/audience dynamic within your space. Staging helps to establish an atmosphere of credibility and status, signalling the importance of the key-note speakers whilst demonstrating via the room format that it is a space to listen, as opposed to mix. And, this really is stating the obvious now, but staging at a conference provides a clear view for all – no matter if attendees are sitting or standing. 

We encourage our clients to think about what’s happening on the stage, to work out what it might look like and what extras it may need to be fully functional. For example, what colour do you want the flooring to be? Do you need furniture?  Are you planning to show videos, so will you need a screen? These are all things we discuss and can provide to clients.

2.Sound System

Assuming you have people on your stage, you want them to be heard as well as seen! Sound is very important. During the day, this will  include microphones and speakers, plus input such as music or video audio. This may be across multiple breakout rooms, so needs coordinating effectively.  At night, you must reconsider how the stage function changes. If you have a band at the Annual Dinner, you’ll need the right set up and additional speakers, mixed to the correct levels for the room, with all the respective cabling and accessories. 3. Lighting

Lighting is the best way to bring personality to your event. For want of better words, it just makes everything that little bit extra! It adds sparkle, enabling you to create whatever mood suits that part of the day. For example, spots can create dramatic focus when announcing an award winner, whereas a light wash in brand colours can create an immersive brand atmosphere which functions as a neutral background to varying speakers and topics throughout the day. 

4.Graphics

Graphics are a crucial part of your event, and can also be cleverly lit up to make them really stand out on a stage.  More importantly, graphics are fundamental element of event décor, because your brand should be all over your conference. The first reason, most obviously, because it’s your event, and you deserve the credit and connections which may result from attendance. Secondly, we live in a world now where everything we do is online. 80% of B2B leads generated on social media come from LinkedIn. Social media platforms are essential to networking now, and that’s what your attendees are there to do. Every point of interest should be covered in branded graphics – for example, lecterns, registration desks, blank walls in front of ‘mingling’ areas, screens, staging, wall dividers, windows… you get the idea! 5. Accessible Tech

Last, but absolutely not least, have you accounted for all guests? We offer accessible technologies at Alrose Productions to ensure that all guests feel comfortable and considered at an event. For example, a D/deaf person may require a hearing loop, or live streaming with closed captions. Perhaps the stage needs a ramp to ensure it is accessible for all users, or an outdoor marquee on uneven ground needs additional flooring.
